To register, you will be required to provide your email address and create a password. Please record these details as you will need them to access your registration record at a later date, should you wish to make changes.
Online registrations will be processed according to the information given by the registrant during registration process. Only fully completed registration forms will be accepted. The registration will only be confirmed upon receipt of payment in full. If the full payment has not been received before the respective registration fee deadline, the registration will be cancelled.
The goal of the symposium organizers is to assure global diversity and therefore will balance the numbers of North-South, East-West participants during the registration process. Furthermore, if the maximum delegate capacity is reached, the symposium organizers reserve the right to refuse additional registrations. Finally, to assure compliance with the Canadian tax law definition for the international event the organizers will manage Canadian delegate participation not to exceed 25% of all participants.
Registration Fees are quoted and due in US Dollars ($ USD). For current currency conversion rates please check here. Individual credit card companies and banks have their own currency exchange rates and this is an indication only.
Register by Monday, August 15, 2016 to take advantage of the Early Bird rates. Registration fees are determined by when the payment is received and not by date of registration.
The registration fee includes entry to all symposium sessions, satellite sessions, the exhibition and poster area, plenary sessions, the opening reception, and lunch and 2 coffee/tea breaks on the November 16, 17 and 18, 2016.

PAYMENT, CONFIRMATION AND RECEIPT
All payments are due in US dollars ($ USD). If you submitted payment by credit card, a receipt will be included with your registration confirmation email. If you are paying by wire transfer, an invoice will be sent to you via email once you have completed your online registration.
The registration will only be confirmed upon receipt of payment in full. If the full payment has not been received before the respective registration fee deadline, the registration will be moved to the next registration category. If payment is not received by November 8, 2016, the registration will be cancelled.
Methods of Payment
The registration fee must accompany all symposium registrations and be made in advance and must be in US dollars. Payment method is by Visa, Mastercard or by wire transfer. Personal cheques, company cheques or Euro cheques are not accepted.
Wire Transfer (applicable prior to the Symposium)
All wire transfers are payable to “Sea to Sky Meeting Management Inc.”, are due in US Dollars ($ USD) and must be received by Monday, October 24, 2016 otherwise payment via another method will be required. On the wire transfer, please note “HSR 2016” and the name of the registrant(s) as a reference. Wire transfer information will be included on the invoice sent to the email address provided upon completion of your registration.
Wire transfers typically incur bank charges for the remitter (person registering) and for the beneficiary (Symposium). All such fees must be prepaid by the remitter. The Symposium must receive payment in full. When requesting a wire transfer, advise your bank to deduct any fees from your account, and add an additional US$16.00 to pay for the beneficiary bank fee.
Credit Card –Visa and Master Card
If paying by credit card, “HSR 2016” will appear as the vendor on your credit card statement.
CANCELLATION, REFUND AND SUBSTITUTION POLICY
There are no refunds for cancellations. Registrations may be transferred to a new participant. There is a USD $65 charge for each name change. Name change requests must be received in writing by Sea to Sky Meeting Management at firstname.lastname@example.org and should indicate the registered name, the new name, and any changes in contact information. A new registration for the substitute participant should not be submitted. Changes can be made until Tuesday, November 8, 2016, after this date, all name changes must be carried out onsite. Cancellations or substitution must be received in writing by email to email@example.com.
Refunds for registration fees will only be refunded if an entry visa for Canada was applied for in time and proof is shown that a visa could not be granted even though all requested documents were submitted. In such case registration fees, minus an administration fee of USD $65, will be refunded after the symposium is completed. Credit will not be given for unattended symposium events or early termination of attendance.
Any refund due will be made in the same form as the original transaction for registration fees only. For original payments made by wire transfer, the cancellation notification or refund request must indicate a bank account to which a refund may be remitted. Bank charges arising from a refund will be deducted from the refund amount.
It is the sole responsibility of the delegate to take care of his/her visa requirements. Delegates who require an entry visa must allow sufficient time for the application procedure. Delegates should contact the nearest Canadian embassy or consulate to determine the appropriate timing of their visa applications. Visit the Travel and Visa Information page of the website, for information on passports, visas and border-crossing information, processing times for visa applications, letter of invitation for visa policy, and insurance and liability.
International attendees are advised to confirm the entry requirements to Canada from their country of origin. Please note, that all visitors arriving in Canada by air require either a visitor visa or an Electronic Travel Authorization (eTA). U.S. citizens are exempted. For details on which regulation applies for your country and to apply for a visa or eTA, please visit www.cic.gc.ca/english/visit/visas.
Once you have paid your registration fee in full, email hsr-register(at)seatoskymeetings.com to request a letter of invitation. The Letter of Invitation does not financially obligate the symposium organizers in any way, nor does it guarantee an entry visa to Canada. All expenses incurred in relation to the symposium are the sole responsibility of the delegate.
The symposium organizers will collect and store all personal data for the preparation and execution of the symposium and will not sell, rent, or lease the participant lists to third parties. Occasions may occur that require the symposium organizers to share participant contact details with third parties that may use these details to contact participants regarding activities at the symposium or other communications which may be necessary for symposium organization and participation. Therefore, data may be passed on to third parties unless otherwise explicitly indicated by the participant in the registration form. If a participant has opted to share contact details with third parties, they can opt-out at any time by contacting the symposium organizers.
The organizers will take all reasonable steps to protect the personal information of participants. For the purpose of this clause, “personal information” shall be defined as detailed in the Personal Information Protection and Electronic Documents Act (PIPEDA). The symposium organizers shall be held liable in the framework of a duty of care as a respectable business according to statutory provisions. The liability of the organizers – for whatever legal reason – shall be limited to intent and gross negligence. The liability of commissioned service providers shall remain unaffected by this. The delegate shall take part in the symposium at his/her own risk. Oral agreements shall not be binding if these have not been confirmed in writing by the organizers.
FULFILLMENT AND JURISDICTION
This contract is subject to the law of Bern, Switzerland. The terms of this contract shall be fulfilled in Vancouver, Canada and, in the event of any legal claims arising from either party; Bern, Switzerland shall be the sole court of jurisdiction.
