Cancellation policy

We have amended our cancellation policy and extended deadlines to October 24, 2022, to support participants who are directly affected by the temporary shut-down of the Colombian visa application portal, as described below:

For participants with nationalities or passports from countries that require visas and who are unable to travel to Bogota due to visa-related issues, can:

  • Change their mode of participation (from in-person to virtual) and receive an 80% refund for the difference in fee (20% fee will be applied to process refunds) until Monday, October 24. After this date, participants who wish to switch their mode of participation (from in-person to virtual) will not receive a refund for the difference. In such cases, participants do not need to inform the organisers (unless scheduled to present in-person) as all participants who are registered in-person already have access to the virtual platform. Please note that cancellations cannot be refunded anymore.

For all other participants:

  • Cancellations –  Cancellations will not be refunded anymore.
  • Registration transfers – Registration transfers are not permitted any longer.
  • Change in mode of participation – Participants can switch from in-person to virtual but no refunds will be issued. In such cases, participants do not need to inform the organisers (unless scheduled to present in-person) as all participants who are registered in-person already have access to the virtual platform.
